Campus Group Offices at the Sussex Clubhouse
Group Offices at the Sussex Clubhouse offers about 50 shared offices for recognized campus groups at St. George, allocated annually for a 2-year term by a 10-member committee called Committee to Allocate Student Activity Space (CASAS).
The allocation of space is determined by eligibility CASAS following that:
- Group Leaders attain 6 Ulead points by particpating in the Ulead program
- Group Leaders submit an application on time and completely
- For renewing groups, there is a good standing record of maintaining office space.
The eligibility for office space requires that group leaders accumulate points based on their participation in the Ulead leadership program as described below.
Eligibility Requirements for Office Space
Recognized campus groups must accumulate six (6) Ulead points between September and April, which is when the applications for CASAS will be due. Points may be earned by attending Ulead sessions throughout the year. Office space is not guaranteed even if a group has accumulated all 6 points because their application will still be subject to review by CASAS committee members. One executive member may not attain all 6 points singlehandedly.
To accumulate "Ulead points" based on the Ulead Program the group may:

Attend the Ulead Conference - occurs in the fall term.
- 2 points for attending, maximum 2 points for 1 or more executives attending.

Attend Ulead Orientation Seminars
- 1 point per executive, to a maximum of 2 points per group.

Attend Ulead Leadership Workshops
- 1 point per executive, to a maximum of 2 points per group.

Attend Ulead Networking Sessions
- 1 point per executive, to a maximum of 2 points per group.
- 2 points per a executive leading a session, to a maximum of 2 points per group.

Participation of Mentees in Mentorship Program
- 3 points for 1 mentee who completes the Mentorship Program in entirety

Request for other leadership training at Ulead Points
- If student leaders attend a leadership training (either on campus or through another organization), you may wish to request that this training be recognized as a Ulead points. Please submit your request using the online form. The request will be reviewed and a response will be provided in 2-3 business days.
- Submit your request for your training to be eligible for Ulead points!
To request how many Ulead points your group has acertained, please contact Asim Ashraf (Coordinator, Campus Organization Services) in the Office of Student Life.
Application for Office Space
Once a group has accumulated 6 points, it is eligible to submit an application once they become available in January.
- Applications are now available on the Office Space Application page and are due on Monday, April 1, 2013 at 5 pm.
- In February, information sessions are offered to assist groups with the application
- CASAS reviews applications in April and results are annouced by May
- Successful applicants move in by July for a two-year term
Recognized campus groups are notified when the applications become available in late January. Once a group has accumulated 6 points, it is eligible to submit an application.
Agreement and Maintenance of Office Space
Once CASAS produces its results, the Office of Student Life will expect groups holding office space starting July that they ensure the following:
- Meet with Campus Groups Officer to review all requirements of the Occupancy Agreement.
- Maintain group recognition status with the Office of Student Life by September 30th of each year.
- Post and attend five (5) hours of office hours per week during academic terms.
- Attend two (2) meetings with all groups of the 21 Sussex Clubhouse per academic term
- Attend the Open House event hosted by Office of Student Life
- Submit an Annual Activity Report by June 1 of each year.
Annual Activity Reports for Office Space
All Recognized Campus Groups with offices at the Sussex Clubhouse are required, as part of their Occupancy Agreements, to submit their Annual Activity Report, which are due on June 1 of each year. The forms are sent via email to the group's contact person's in may in a MS Word format to be filled out and return to the Office of Student Life.
To ensure continuity of your occupancy, it is strongly recommended that your group submit their report early so as not to jeopardize their allocation. This is particularly relevant to groups who's executive change in the spring or summer months. Failure to submit an Activity Report may result in the loss of your group's use of the space.
